Exporting the database in the mailing system

Exporting the Database: A Comprehensive Guide

We’re glad you’ve decided to export your database! Whether you want to copy the entire database or just certain segments, this guide will help you carry out the process easily. Everything is laid out here step by step, without unnecessary technical language. Ready? Let’s get started!

Export the entire database

Your first step is to go to the menu on the left and click on Export Addresses. If you want to download addresses with all their features, just click on the All button. But if you are only interested in selected features, just select them.

Now scroll down with the slider until you see a second, empty window. Drag the selected items there. Once everything is in place, choose the encoding you want to download the file in. You can choose from:

  • ISO-8859-2 → Encoding of Polish characters
  • UTF-8 → An encoding that includes all international characters
  • ISO-8859-1 → No encoding of Polish characters (plain ASCII)
  • WINDOWS-1250 → Polish character encoding known to Windows.

Next, complete the Notes field. This is the space that is used in the register of changes kept for RODO purposes. Here you will record information about what was changed, why the change was made or who ordered the activity. Then click on Export and you’re done!

⚠️ Remember! To properly view the exported database from within MS Excel, first launch Excel and only from there open the saved database.

Export a specific range of addresses that meet the condition

We want to make this process as easy as exporting the entire database, so we’ll go through it step-by-step, showing you how to do it with an example of exporting addresses from a group. Similarly, we can select other conditions found in the search engine.

  • In the Menu on the left, select Search and select the group you are interested in, then click the Search button in the right corner.
  • You will see a list of found addresses that meet the condition. Now click on the button located in the upper right corner: Export found addresses.
  • Follow the instructions for downloading the entire base, which we described above (from point no. 2).

PS. You can find instructions for searching for returns and managing a retrieved list of addresses here.

We hope you found this guide helpful! If you have any questions, we are always here to help. Thank you for using our services!
